How to use Hubspot as an ATS

  • create the pipeline 
  • decide on pipeline stages 
     
  • define people/teams who need access to the deal board 
  • change permissions for the deal board 
  • create a contact type with a dropdown option for candidate 
  • if needed, ensure that people can see only contacts they or their team own  
  • set up required properties at each stage 
  • set any new custom properties, e.g. 
  • start date – date type 
  • Availability date – date type 
  • Notice period - dropdown 
  • Salary expectations – number, formatted as currency 
  • Do you have the right to work in the UK – dropdown with Yes and No values 
  • Do you need sponsorship from the company? - dropdown with Yes and No values 
  • Conditional, only to show if the permit question is answered as No 
  • CV - file type 
  • any screening questions 
  • Those need to be added as conditional fields, often relating to the Country of residence or “permit to work in the UK” 
  • decide on required fields for each pipeline stage 
  • Create a new property with dropdown options called “Contact type” 
  • Option 1 – Contacts 
  • Option 2 – Candidates 
  • Create a property group called Candidates and add all of the above fields in it 
  • create a form to add to the landing page 
  • Confirm the thank you message for the form 
  • Confirm who will receive the form 
  • Add a hidden field with a preset Contact type to be “Candidate”. 
  • decide on a landing page template 
  • get a list of job types and descriptions to add to the landing page 
  • create emails/comms for each stage of the process 
  • create a workflow to create deals in the new pipeline for the people submitting the form 
  • see if there is a different naming convention needed to reflect their location, job type selection, etc. this way it will be easier to identify them from within the deal board 
  • send CSat surveys after all key stages 
  • after 1st interview 
  • after offer accepted - a week after starting date 
  • Set up HubDB called “Vacancies” with the following columns 
  • ID 
  • Name 
  • Job description – rich text 
  • Contract type – dropdown 
  • Permanent 
  • Contract 
  • Hybrid 
  • Remote 
  • Location - location 
  • Reference - text 
  • URL to job ad - URL 
  • Salary - currency

Responsibilities – who is responsible for taking each action – maybe create a timeline/checklist to share with the client 

Timelines for each stage 

Assets to be requested, e.g. logos, brand colours

System requirements: 

Marketing Pro – for workflows 

CMS Pro for dynamic pages and listings 

 

 

  • Always include client training, or maybe create mini videos/how-to guides on how to add the data 

 

 

Workflows need to allow reenrollment, as if the same person applies for multiple jobs, they need to be able to get the emails at every stage 

Follow up tasks re: book a screening call if the person hasn’t booked a day or two after the initial email was sent. 

Workflows to create deals and move to stages based on “Candidate status” field value.
